Beyond documents, tables, and artifacts, you can keep any file in a workspace — PDFs, images, audio, video, archives, and more. Files live in the same tree as everything else, preview inline, and are searchable by what's inside them.
Uploading
Use Upload file from the sidebar's + (or a folder's ⋯ menu). The file lands in your workspace tree as its own item. Only editors and admins can upload.
Previewing
Open a file and Dokki previews it inline where it can — images, PDFs, video, audio, and text render right in the page; anything else offers a download. A download button is always available.
The file viewer also has a header bar with Share and a ⋯ More menu, so you can share or manage a file just like a document.
Searchable by contents
Uploaded files are indexed by what's inside them, not just their names — across formats:
PDFs & Office documents — read as text.
Images — described, with any visible text recognized (OCR).
Audio & video — transcribed; a video's on-screen visuals are described too.
So a phrase spoken in a recording, or text inside a screenshot, turns up in search and is available to Copilot. See Search.
Index status
Each file shows an Index status — Indexed, Queued, Indexing, or Failed — along with details like how much text was extracted. If a file didn't index, an editor can Re-index it from the file's menu.
Sharing
Files share exactly like any other resource — invite people, set General access, or publish. See Sharing & Public Access.
Size & storage
Per-file size depends on your plan — roughly 25 MB on Free, 500 MB on Pro, and up to 2 GB on Max. The exact cap is shown if a file is too large.
Total storage is shared across your workspaces and counts against your plan's limit. Files keep using space until you permanently delete them from Trash.
Images you drop straight into a document are handled separately and have their own smaller size limit.
